HR documentation process for Stone quarries: weighbridge slips, joining papers and issue registers
A quarry runs on daily-wage hands and cash, and its papers are often a notebook and a clerk's memory. A small set of signed, dated records protects both the owner and the worker.

Share your requirementsWhy HR documentation process matters in stone quarries
Stone quarries collect paper unevenly. The weighbridge has slips, the muster has pencilled names and the owner keeps loose notes of advances. When a worker leaves and says he was never paid, or a driver disputes a load, nobody can produce the page that settles it.
A tidy system is short. A joining form for each hand, a muster signed weekly, a register for items issued, an advance book with dates and a weighbridge sheet signed by two people. Keep them in one place, labelled by month, and decide how long each is kept after checking the rules with a qualified professional.
How to set it up
1. Make a one-page joining form
Name, contact, role, daily rate, start date and emergency contact, signed or thumb-marked and dated. File it on the day of joining.
2. Sign the muster weekly
The mate and the clerk sign the weekly muster, and the worker acknowledges payment. Keep it in a folder by month.
3. Keep an issue register
Record masks, ear plugs, boots and tools given, with name and date, and mark returns when people leave.
4. Log advances and recoveries
Use a book with the date, amount, reason and recovery plan, signed by both sides. The HR documentation process page explains the approach.
5. Store and label papers
One cabinet or box per month, one person responsible. Agree how long each record is kept, after confirming with a qualified professional.
Check these first
Before changing anything, find out what is true today. These take an afternoon and use your own records.
- Pick a hand who joined last quarter and find his joining form in under two minutes.
- Check that last week's muster is signed by the mate and acknowledged by workers.
- Look at the advance book for entries without a signature.
- Ask who is responsible for filing and where papers are kept.

Questions owners ask
A joining form, a signed muster, an issue register, an advance book and the weighbridge sheet. Add other records as needed once these are in good order.
Yes, if they are saved safely and can be read later. Photographing signed pages each week is a useful backup. Keep the paper as well.
It depends on the type of record and the rules that apply. Ask a qualified professional to confirm the periods, then write them on the cover of each box.
