Multi-plant HR standardisation for manufacturing companies
A second plant is where informal HR stops working. We set common policies, rules, grades and records across sites, and leave room for the differences that a particular plant really needs.

What this covers
Plants that grew separately develop separate HR. The second site is where informal process stops working, because the supervisor who knew everybody is not there.
- Common policies across sites
- Standard roster rules
- Standard attendance rules
- Common grades and wage structure
- Central employee master
- Site-level dashboards
- Consolidated headcount and cost
- Inter-site transfer process
Where this goes wrong on the shop floor
- Plant A pays shift allowance one way and plant B another, and operators hear about it.
- Each site keeps its own attendance register layout, so head office cannot compare them.
- A transfer between plants loses the skill record, and the person is trained again.
- The plant HR officer leaves, and the knowledge of how that site works goes with them.
- Head office asks for headcount and gets three different numbers from three plants.
- Grades have different names at each site, so promotions are not comparable.
How we set it up with your plant
Review each plant as it runs
We visit or review records from each site to see actual practice in rosters, attendance, grades and discipline. The result is a side by side comparison that highlights differences and their reasons.
Decide common and local
With the leadership team we agree what is common to all plants and what stays local. Common items become group standards. Local items are recorded with a reason and an owner.
Draft group policies and rules
We draft policies, roster rules, attendance rules and a common grade and wage structure that each plant can adopt. Law that varies by state is flagged for your qualified professional.
Design the central employee master
We define one employee record format with fields every plant must fill, and a rule on who may change it. This is the base for HR software setup and group reports.
Build site dashboards and consolidated views
We design a common monthly view of headcount, attendance, overtime, attrition and cost by site, with a consolidated page for head office.
Roll out plant by plant
We pilot at one plant, fix what does not work, and then roll out to the others with a short handover for each site HR lead. A transfer process is introduced alongside.
Records and registers this produces
- Plant comparison sheet
- Common and local rules register
- Group policy set
- Standard roster and attendance rule note
- Common grade and wage structure
- Central employee master format
- Site dashboard format
- Inter-site transfer form
What good looks like
- Head office reads headcount and cost for every plant in the same layout.
- A grade means the same thing at every site, so promotions are comparable.
- Site differences are listed with a reason and an owner.
- A transferred employee carries their grade, skills and records to the new plant.
- A new plant HR officer can run the site from written standards.
Questions plant teams ask
No. Core rules such as grades, attendance and policies should be common, but some site matters depend on local practice and state requirements. We record the difference and the reason, so it stays deliberate.
With a side by side comparison of what each plant actually does. It is usually surprising and settles most arguments. From there we agree a common standard and a sequence for adopting it.
We involve plant heads when deciding what is common and what is local, and pilot at one site first. Rules that solve a plant's own problems are adopted faster than rules sent from head office.
Yes, once the employee master, grades and rules are common. We set up the software structure with site fields, so each plant works in its own view and head office reads the consolidated one.
Use a written transfer process: who approves, which records move, how grade and pay are matched, and how the skill status is carried. We design the form and the checklist for both sites.
