Attendance, shift and leave process for Repair Service Businesses: counter hours, bench cover and visit slots
A repair business must be open when customers arrive and still have a bench technician free. Attendance rules decide whether a counter stays staffed and a visit slot is kept.

Repair shops run on small teams, so one absence changes the day. If the senior technician is off, hard jobs wait. If the counter person is late, customers queue with broken items and no one to log them. Visit slots promised for the afternoon slide when a technician is still stuck on a bench job.
A simple roster that shows counter cover, bench cover and field slots side by side removes most surprises. Leave is then approved against the roster, with festival weeks and exam season marked early. Fixed rules on swaps and late arrival prevent daily bargaining with the owner.
How to set it up
1. Draw one weekly roster
Counter, bench and visit slots in one sheet, with a named backup for each. Share it two days before the week begins.
2. Mark the busy weeks in advance
Festival gifting, exam season and monsoon see rushes in some trades. Note them on the calendar and hold leave requests against it.
3. Set a swap and lateness rule
Who may swap, who approves and what counts as late. Write it on one page so the answer is the same for every person.
4. Plan cover for the senior technician
Name who takes the hard jobs when they are off, and leave notes on open jobs at the end of each day.
5. Review actual against roster monthly
Check missed visits and counter gaps against attendance, and adjust the roster, not just the reminders. Feed this into HR reporting.
Check these first
Before changing anything, find out what is true today. These take an afternoon and use your own records.
- Count customer walk-ins that found the counter unmanned last month.
- List visit slots missed and note the reason for each.
- Ask which two absences hurt most and what cover existed.
- Check whether leave was approved against the roster or by memory.

Questions owners ask
It depends on footfall and the time a log-in takes. Watch two busy days, count customers waiting and set the minimum from that rather than from guesswork.
They can if the roster is clear and travel time is counted. Agree it with each person and check that it does not leave anyone with unreasonable hours. Confirm the rules with a qualified professional.
Talk to them first and look for the cause, such as distance or a family duty. If it continues, follow the lateness rule you wrote, applied the same way to everyone.
