HR documentation process for Robotic Systems Integrators: project and people records
An integrator works on many sites and carries records of people, trials and customer sign-offs. Good HR documents keep these tidy and findable.

Paper and chat messages pile up. A site engineer's travel record sits in a notebook, a trial sign-off lives in a phone photo and an offer letter cannot be found when the new fitter asks about leave. When a customer asks who worked on a cell, or an engineer leaves, the shop spends days assembling facts.
A short document set solves most of this. Each employee has a file with offer, role description, skills and training. Each project has a people record showing who worked, which site and the dates. Customer sign-offs and handover training records are stored with the project. Naming, folders and access are agreed once.
How to set it up
1. List the documents you need
Write employee documents, project people records, trip logs, training records and customer handover sign-offs. Mark the ones now scattered or missing.
2. Set simple folders and names
Use one folder per employee and per project with a fixed naming pattern. Decide who may see which folder.
3. Standardise key forms
Prepare a clear offer letter, role description, trip record and training sign-off. Keep each to one page. Our HR documentation process work covers these.
4. Collect what is missing
Ask people to hand in missing papers and let managers confirm training and trip dates. Set a date to finish.
5. Check monthly
Review one project and three employee files each month to see if the set is complete. Fix gaps early.
Check these first
Before changing anything, find out what is true today. These take an afternoon and use your own records.
- Employees without a signed offer or role description on file
- Projects with no record of who worked on site and when
- Customer handover training sessions with no sign-off kept
- Documents that only exist on one person's phone

Questions owners ask
Not at first. A shared drive with a clear folder pattern works. Move to HR software when files grow or when you want reminders and reports.
Keep them at least as long as the customer's warranty and your own needs require. Ask your adviser for the exact period. A clear rule beats guessing.
One named person in HR or admin owns the system, while managers supply the facts. Shared duty with no owner is how files go missing.
