Attendance, shift and leave process for Industrial Automation Companies: rules for shop, site and service
An automation company runs a panel shop, project sites and a service desk, each with different hours. One attendance rule rarely fits all three.

When the same policy is applied to the panel shop, project engineers and service staff, someone always loses. Service engineers are phoned at night without a rest day, project engineers on site work long days and are marked absent when they miss the office register, and the panel shop clocks late stays that nobody records.
Practical rules treat each group on its own terms. The shop has fixed shifts and a clear overtime rotation. Site engineers have trip records and rest days after long stints. Service has an on-call roster with time off in return for night calls. Leave is booked against project milestones, so people can plan it.
How to set it up
1. Separate the three groups
Write down who works the shop, who works on projects and who works service. Mark their usual hours and where they work. Each group gets its own section in the rule.
2. Fix shop shifts and overtime
Set shift times, an overtime rotation and a way to record late stays. Share the sheet weekly so people see who has done what.
3. Record site and trip days
Keep a simple trip log with dates, site and hours. Decide rest days after long trips and what allowance applies. Our attendance, shift and leave process work would settle this.
4. Build the on-call roster
Rotate service engineers by week, name a backup and agree time off after a night call. Share the roster a month ahead.
5. Plan leave against milestones
Show known commissioning dates on a shared calendar. People book leave around them, and managers approve against it, not on the day.
Check these first
Before changing anything, find out what is true today. These take an afternoon and use your own records.
- Calls handled after hours last month, by engineer
- Days each site engineer spent away in the last quarter
- Overtime in the panel shop listed by person
- Leave requests refused in the last quarter and the reason given

Questions owners ask
Agree a simple rule such as a late start the next day after a call past a set hour, and record it. Fairness matters more than the exact rule.
Yes, but in a way that suits site work, such as a short daily message or trip log signed by the project manager. Do not force a register that cannot be filled on site.
Yes. One shared calendar with project milestones, on-call weeks and shop deadlines marked lets managers approve leave fairly. Keep colours for each group.
