HR documentation process for Automation Equipment Makers: order sheets, trial records and people files
A machine shop builds one-off jobs with changing drawings and many hands. Documents link each job to its people, changes and sign-offs.

Drawing revisions float between desks, a trial sign-off is a photo in somebody's phone and a fitter's training is known by habit. When a customer returns with a complaint, the shop cannot say who built which module, what was changed after the trial or whether the person was trained on that unit.
A clear document set solves it. Each job has a sheet with the team, drawing revisions, trial record and customer sign-off. Each employee has a file with offer, role, skills and training. Folders and names are agreed so anyone can find them. Short templates help busy fitters complete them.
How to set it up
1. List the documents
For jobs: team list, revision log, trial record, sign-off. For people: offer, role, training, review. Mark which are missing or scattered.
2. Choose a home
Set up a shared folder structure per job and per employee with agreed names and access. Stop the use of personal phones as the only record.
3. Write short forms
Create a one-page job sheet and a trial record that a fitter can fill in within a few minutes. Our HR documentation process work covers templates.
4. Name an owner
Make one person responsible for keeping the folders tidy and for chasing any missing records every week, with a short list to the owner.
5. Spot check each month
Pick a recent job and a few employees each month and check the file is complete. Record any gaps and fix them quickly.
Check these first
Before changing anything, find out what is true today. These take an afternoon and use your own records.
- Jobs without a recorded team list
- Machines with trial records kept only on phones
- Fitters with no training record on file
- Revisions made after trial and where they were noted

Questions owners ask
Anything that cannot be filled in a few minutes will be skipped. Keep forms to one page and ask only what you will use later.
Keep them with the job file, and link the people record to the job. HR and operations then see the same facts.
Yes at first, if it is filed consistently. Move to a shared drive or HR tool as volume grows, so records can be searched.
