HR strategy and workforce planning for Cleaning companies: core crews, a bench and the festival peak

A cleaning company with too few crews turns away bookings at the peak. With too many it pays for idle hands in the quiet. A plan finds the balance and prepares extra hands in good time.

Why HR strategy and workforce planning matters in cleaning companies

Home cleaning demand rises on weekends, before festivals, at the end of school terms and when people move house. The owner knows this from experience but may not have counted it. Without numbers, hiring happens in panic during the peak, new cleaners are rushed through training and quality dips just when customers expect the best.

A workforce plan is a simple exercise. Count bookings by week for the last year, translate them to crews needed, decide the core team that works all year and the bench that works the peaks. Then plan how and when to find, train and keep the bench. The plan is reviewed each quarter as the business grows.

How to set it up

  1. 1. Count last year's bookings by week

From the booking list, record bookings by type and week. Mark the festivals, school holidays and move-in seasons.

  2. 2. Translate bookings into crews

For each type of service, estimate crew-hours needed. Add travel time. The result is the number of crews for a normal week and a peak week.

  3. 3. Set the core team and the bench

Core crews work all year with a steady base. Bench cleaners are called for peaks and paid fairly per booking, with training before they start.

  4. 4. Plan the bench's recruitment and training

Start finding bench cleaners six to eight weeks before a peak, train them in the standard routines and test them on small jobs. The recruitment process can support it.

  5. 5. Review each quarter

Compare plan with actual bookings and crew use, adjust the numbers and check how many bench cleaners came back after the last peak.

Check these first

Before changing anything, find out what is true today. These take an afternoon and use your own records.

  • Plot bookings by week for last year on a single sheet.
  • Count how many bookings you turned down or delayed at peak.
  • Ask how many bench cleaners from last peak are still reachable.
  • List which services are growing and which are shrinking.
