Attendance, shift and leave process for Apartment maintenance agencies: a duty list across towers, pumps and the gate
A residential complex runs on people at fixed points: the gate, the pump room, the lift, the lobby. A duty list that shows who is where, and who covers, keeps the complex running.

Share your requirementsWhy attendance, shift and leave process matters in apartment maintenance agencies
In apartment maintenance, absence is felt in hours. If the pump operator is away, water is late. If the front desk is empty, visitors queue. Many agencies keep attendance in a register at the complex, and a manager across several complexes hears about gaps only when a resident complains.
A duty list sets each post by complex, tower and hour: gate, pump, lift, housekeeping, technician and desk. It names the cover for each and records actual attendance each day. Leave is requested early and weekly offs are planned against the list. Imagine a complex with three towers where the lift operator takes a day off: the list shows who covers and whether that person knows the lift room.
How to set it up
1. List every post
Gate, lobby, pump room, lift, housekeeping floors, technician rounds and desk, with hours and numbers needed.
2. Name a cover for each post
One person who has done the post before, and a second option for peak days. Check their availability early.
3. Mark attendance at the post
Record arrival in a simple sheet or phone entry, with time. Late arrival and absence are visible the same day.
4. Plan weekly offs and leave
Fix weekly offs ahead of time and ask for leave early. The duty list shows gaps before they happen.
5. Review across complexes weekly
The area manager reads absences and cover moves for all complexes, and sees where one site is draining another.
Check these first
Before changing anything, find out what is true today. These take an afternoon and use your own records.
- Pick one complex and list its posts with names for tomorrow.
- Ask which posts have no trained cover.
- Count the times last month a post was empty and for how long.
- See how many cover moves came from the same complex.

Questions owners ask
Announce the leave window early, rotate fairly and keep a minimum cover list per post. Fairness and early notice reduce disputes.
Being reachable is not the same as being on duty. Define working hours, on-call hours and rest in writing, and confirm the rules with a qualified professional.
It can be, if it is filled at the start of the shift and checked daily. The risk is delay. A register read only at month end hides patterns.
