Recruitment process consulting for Wedding planners: finding and calling back a wedding season crew
Every wedding season starts with the same scramble for hosts, runners and decor hands. A planner's bench of known, rated people turns that scramble into a few phone calls.

Most planners hire for the season by asking around. Friends of friends turn up, some are excellent, some leave mid-function. The ones who did well are not written down, so the lead planner depends on memory. In October, when dates are filling, hiring takes time that should go to clients.
A bench that is kept all year changes this. Each helper has a name, role, city, last wedding worked and a rating from the supervisor. Selection becomes a short conversation and a trial function, and recall becomes a message. New people come mainly through referrals from people who already worked well.
How to set it up
1. Start the bench from last season
List everyone who worked, with role, city and a rating from the supervisor. Mark who you would call again and who you would not.
2. Define the roles you need
Host, runner, decor hand, guest handler and supervisor, with the skills and look each requires. Match this to the role briefs you give them.
3. Ask for referrals from your best crew
Give each good helper a chance to name two people. Meet them for a short conversation about reliability, travel and late hours.
4. Test with a smaller function first
Place new helpers at a mehendi or sangeet before a main wedding, with a supervisor watching, and rate them afterwards.
5. Review the bench after every season
Update ratings, remove unreliable names and note gaps by city. Look at workforce planning when you open a new city.
Check these first
Before changing anything, find out what is true today. These take an afternoon and use your own records.
- Count how many of last season's crew you can name and contact today.
- Ask your supervisors which helper they would put in charge of a function.
- See how many helpers came from referrals and how they performed.
- Check how long the last hiring scramble took, in days.

Questions owners ask
Start the bench review straight after the last wedding of the season, then fill gaps two to three months before the first major date. Early calls also help you plan travel.
They can work well for guest handling and runner roles if briefed. Ask a qualified professional about any rules on age and hours, and keep a supervisor with them.
Look for someone who stays calm, speaks clearly to guests and vendors, and is trusted by other helpers. Try them on a smaller function with a clear task first.
