HR reporting and analytics for Learning Management Companies: utilisation, hours per account and trainer load on one page
Delivery heads need to see who is overloaded and which accounts take more than they pay for. A one page report from weekly hours answers both without long meetings.

Share your requirementsWhy HR reporting and analytics matters in learning management companies
Most learning management companies estimate hours at the sale and never compare them with the real figure. A heavy account hides inside a healthy-looking average. Trainers move from one client to the next, and the delivery head learns that someone is exhausted only when they resign.
The fix is a small set of regular figures: hours per account by task, utilisation per person, trainers booked in each coming month, freelancer days used and the pace of hiring against need. A one page report each month, read by the delivery head and the people lead, shows pressure before it becomes an exit.
How to set it up
1. Capture hours weekly by account and task
A simple entry for setup, training, support, rework and internal work. Keep the list short, so staff can fill it in two minutes.
2. Compute utilisation per person
Share of working time spent on client tasks, set against a range you agree. Flag people above and below it, and talk about the reasons.
3. Compare estimate with actual per account
For each account closed or live, show the hours promised and the hours used, with the main reason for the gap.
4. Look ahead at trainer bookings
List trainer days booked for the next three months, with freelancer days planned. Mark any month where demand exceeds the bench.
5. Publish one page each month
Hours by account, utilisation, bookings, freelancer use, joiners and leavers. Meet for thirty minutes to decide what to change.
Check these first
Before changing anything, find out what is true today. These take an afternoon and use your own records.
- Pick one account and compare the hours estimated at sale with the hours used.
- Look at the three busiest people and their last two months of utilisation.
- Check next quarter's trainer bookings against the number of trainers.
- See whether the delivery head has seen the same figures as the people lead.

Questions owners ask
There is no universal number. It depends on your mix of work and how much time goes to preparation and learning. Look at your own range over several months and watch for people far above it.
Less so if the entry is short and the figures are used for planning and protecting staff. Share the monthly page with the team so they see the purpose.
Compare the bookings and utilisation with the bench. When demand exceeds the bench for two months running, start hiring or book freelancers early. The report gives you the case in advance.
