Role design and job descriptions for Online Electronics Sellers: Scanners, Testers and Advisers with Clear Ownership
When a unit goes missing or a return is passed wrongly, the question is who owned that step. Role sheets for scanners, testers and advisers answer it before it is asked.

Share your requirementsWhy role design and job descriptions matters in online electronics sellers
Electronics sellers often grow by adding people to whichever job is busy. A packer starts scanning, a scanner starts testing returns and a support agent starts advising on specifications. Titles stay the same while work shifts. Nobody can say who is responsible for a serial number mismatch or a wrong refund.
A role sheet does not need legal language. It states the purpose of the role, the tasks, what the person decides alone, what needs a lead and how the work is checked. In a business with costly stock, the section on checks and hand-offs matters most.
How to set it up
1. List the real tasks of each role
Watch or ask people in scanning, testing, packing, support and pre-sales. Write the tasks they actually do in a week, then remove those that belong elsewhere.
2. Mark decisions and limits
For each role, note what the person may decide, such as a refund up to a limit set by you, and what goes to a lead. Make the limits clear and the same for every shift.
3. Add the check and hand-off lines
For scanners and packers, state which scan they perform and which record they sign. For testers, name the test list and the form where results go.
4. Link roles to grades and pay
Group similar roles into a few grades with a plain path from packer to scanner to tester. Use compensation benchmarking to set pay ranges.
5. Share, discuss and revise
Go through each sheet with the people doing the work. Correct what they say is wrong. Revisit when a product line or process changes.
Check these first
Before changing anything, find out what is true today. These take an afternoon and use your own records.
- Ask a scanner and a packer who is responsible for a serial number mismatch.
- Compare the refund limits that different testers and agents believe they have.
- Check that every role has a named backup for leave.
- See whether any person does tasks from two or more role sheets.

Questions owners ask
One or two pages: purpose, main tasks, decisions, checks and the usual hours. If staff cannot read it in a few minutes, it is too long. Add examples for the hardest tasks.
A short version helps, covering tasks, limits and who to ask. It also shows who must not handle high-value goods, which protects them from blame when something goes missing.
They give a shared reference. If someone says a task was not theirs, the sheet and the hand-off record can be read together. This turns arguments into checks of what was agreed.
