A beauty adviser's day is a stream of small worries: the shade looks different, the serum stings, the parcel is late. Many customers write in a hurry and some are upset. A reply that is cold loses the sale. A reply that gives advice beyond the adviser's knowledge can cause harm and damage the brand.
Training teaches a clear shape for a reply: acknowledge, answer what is known, say what is not, and point to the next step. It also gives agents scripts for worrying cases, such as a skin reaction, so they refer and do not diagnose. Practice is on real tickets with feedback.
How to set it up
1. Teach the shape of a reply
Start with the person's concern, give the clear answer, state limits plainly and close with the next step.
2. Draw the line on scope
Decide with the brand what an adviser may say about use and ingredients, and write down the cases that need escalation. Confirm any claims with a qualified professional.
3. Practise on real tickets
Pairs rewrite recent replies, comparing the original with a better version, and discuss tone.
4. Rehearse the upset customer
Role play a delayed order, a wrong shade and a reaction complaint, and agree how to stay calm and precise.
5. Coach weekly with samples
A lead reviews five replies per adviser each week and shares one thing done well and one to change.
Check these first
Before changing anything, find out what is true today. These take an afternoon and use your own records.
- Read five recent replies and note any that go beyond the adviser's knowledge.
- Count how many tickets are about shade confusion.
- Ask agents what they do when a customer reports a reaction.
- Check whether replies sound like the same brand.

Questions owners ask
They should be kind, ask the customer to stop using the product, share the brand's agreed steps and pass the case to the right person quickly. They should not diagnose or promise outcomes.
They can, if used word for word. Give agents key points and sample phrases, and let them write in their own words within the voice. Review samples to keep warmth in the replies.
Run a short session after each launch or common new complaint, and a full refresher twice a year. Short and frequent works better than rare and long.
