Attendance, shift and leave process for Pathology Labs: collection rush, night runs and overtime
A lab's day is shaped by when samples arrive and when reports are due. Rosters, leave and overtime need to follow that rhythm, or reports slip and a few people carry the strain.

Share your requirementsWhy attendance, shift and leave process matters in pathology labs
In many pathology labs the roster is a copy of last month with a few changes. The early shift is crowded on slow days and thin on busy ones. A technician takes leave without anyone checking whether another person can run her section. When reports run late, extra hours are worked and noted on scraps of paper.
A better process starts with the sample curve: how many samples and visits arrive each hour. It sets cover for reception, each section and collection, shares night and holiday duty in turn and ties leave to the cover table. Overtime is recorded at the time with a reason, so it can be reviewed without argument.
How to set it up
1. Plot samples by hour
Use a month of data from the reception register. Mark the peak, the long middle and the evening tail for weekdays and weekends.
2. Set minimum cover by section
State how many people each section needs and who is trained to cover. Leave is approved against this table. See the attendance, shift and leave process.
3. Rotate night and holiday duty
Keep a visible chart of who has covered what. Allow swaps if both parties and the supervisor agree in writing.
4. Record overtime at the time
A short line for date, section, hours, reason and who approved it. Overtime without a record is hard to defend later.
5. Review patterns monthly
The lab head looks at late reports, overtime by section and absence by day, and picks one change to try.
Check these first
Before changing anything, find out what is true today. These take an afternoon and use your own records.
- Compare staff on duty at 8 am with samples received that hour.
- Check whether any section has had no trained cover during leave.
- Count who covered most nights and holidays last quarter.
- See whether overtime hours match any written record.

Questions owners ask
Count samples and collection visits by hour for a few weeks, then match staff to the peak. There is no standard figure. Check again after a month, since patient habits shift with season.
In a visible rotation with swaps allowed by agreement. Consider rest after a night shift and avoid placing the same person on both nights and holidays. Check rest and pay rules with a qualified professional.
Find the cause in the records. It may be late sample arrival, a slow analyser or thin cover in one section. Fix the cause or adjust the roster, rather than relying on extra hours as a habit.
