Attendance, shift and leave process for Home Sample Collection Providers: check-ins and slots for people on the road
Field phlebotomists work alone, away from any desk. Attendance, slot loads and leave need a method that shows who started, where they went and who covers when they are off.

Most providers record attendance by a phone call or message to the zone lead. It works until a dispute at month end: the phlebotomist says they worked, the lead has no note, and the customer record shows a missed slot. Leave is similar. A message the night before leaves the early slots unmanned.
A simple process fixes much of this. A check-in at the first visit, tied to the route sheet. Slot loads set from real travel time. Leave asked for a few days ahead, with a named cover. Attendance, visits and wages then tell the same story, and customers keep their slots.
How to set it up
1. Set a first-visit check-in
Each phlebotomist checks in at the first visit with time and location. The route sheet and the check-in are compared each morning by the zone lead.
2. Fix slot loads from real timings
Measure how long visits and travel take over a few weeks and set loads from that, with a buffer for traffic and difficult draws.
3. Ask for leave early and name the cover
Leave is requested a set number of days ahead, with a cover phlebotomist named on the zone sheet. Sudden absence follows a separate quick-cover call list.
4. Review exceptions weekly
The zone lead looks at late check-ins, missed slots and short days with the person concerned, and notes causes such as traffic or kit shortages.
5. Match attendance, visits and wages
At month end, compare check-in days with visits and the wage record. Fix mismatches before the wage date, so disputes do not build up.
Check these first
Before changing anything, find out what is true today. These take an afternoon and use your own records.
- Compare last week's check-ins with visits completed for five phlebotomists.
- Count slots missed because of absence without cover.
- See whether leave was requested with enough notice last month.
- Check if zone leads keep a call list for quick cover.

Questions owners ask
A check-in with time and location can be reasonable if staff are told clearly and it is used only for work. Check data and privacy rules with a qualified professional.
It depends on travel time, city and visit type. Measure real timings for a few weeks and set loads from them, with a buffer. Do not copy another provider's number.
Keep a call list of cover phlebotomists and a rule for who rings whom. Customers are told early if a slot must move, which is better than a no-show.
