Employee onboarding process for Coworking Providers: the same first fortnight at every centre
A new front desk executive is often on the floor alone by the third day. Onboarding has to teach the space, the members and the escalations quickly, and the same way at every centre.

Coworking induction is usually a tour of the floor and a login to the booking tool. The new person then learns member names, room rules and who is difficult by trial. Mistakes show in front of paying members, and the centre manager spends the first month correcting them.
A fortnight plan works better. It covers the space and its safety points, the member types and what each is promised, how bookings and invoices are handled at the desk, and what to do when something goes wrong at night. The same plan in every centre also makes transfers easy.
How to set it up
1. Prepare before day one
Seat, access card, login, uniform if any, and a named buddy at the centre. Send the joiner the first week plan the day before.
2. Teach the space and the people
Day one covers exits, first aid points, meeting rooms, pantry and the main member groups. Introduce the joiner to anchor members by name.
3. Walk through the member journey
From enquiry to tour to joining to renewal, show what the desk does at each step and which forms and checks matter.
4. Practise the hard moments
Role-play a noise complaint, a double-booked room, a lost access card and a member who refuses to leave after hours. Share who to call.
5. Review at day ten and day thirty
Meet the joiner with the centre manager, list what is still unclear and sign off the tasks the person can do alone.
Check these first
Before changing anything, find out what is true today. These take an afternoon and use your own records.
- Ask the last three joiners what they wish they had been told on day one.
- See whether any new joiner worked a closing shift alone in the first week.
- Check that every centre has the same escalation list for night issues.
- Count joiners who left within ninety days and note what they said.

Questions owners ask
A steady colleague who has done the job for several months and likes teaching. Free some of their time, otherwise the buddy role becomes extra work and the joiner gets rushed advice.
Head office can provide the common material, but the centre teaches the space and the members. Combine a short central session with a buddy-led floor fortnight.
Bring a seasoned manager and one desk person from a running centre for the first weeks, and use the common fortnight plan for everyone.
