Attendance, shift and leave process for Polytechnic Colleges: workshop batches, practical slots and cover
A polytechnic timetable is built around workshop batches and lab slots. A clear process for hours, leave and cover keeps these sessions from being lost when a teacher is away.

Practical sessions are the heart of polytechnic teaching, yet they are the first to be lost when someone is absent. A workshop cannot be run by an untrained substitute, and a lab batch cannot be merged into a lecture hall. The head of department rearranges slots by hand every week and the same few instructors cover repeatedly.
A workable process lists workshop and lab slots, names a trained backup for each, and records leave early. It counts cover fairly and plans for exams, visits and training days. It treats workshop hours separately from theory hours, since they carry different demands.
How to set it up
1. Map the practical timetable
Workshop and lab slots by batch, instructor and backup. Update every term.
2. Name and train a backup for each slot
A second person who knows the machines and safety rules, with a short briefing sheet for each session.
3. Record leave and cover together
One sheet per department where leave is entered with the cover named. See attendance, shift and leave process.
4. Share cover fairly
Count cover given and offer new cases to those with fewer, within what skills allow.
5. Plan known gaps early
Training days, industry visits and exam duties are marked at the start of the term so slots can be moved in advance.
Check these first
Before changing anything, find out what is true today. These take an afternoon and use your own records.
- Count practical sessions lost last term because of leave.
- Check that each workshop slot has a named backup.
- Ask instructors how often they cover for others.
- Look at how leave is recorded in each department.

Questions owners ask
Only if trained on the equipment and safety rules of that workshop. Name backups on skill, not seniority, and record who is cleared for each workshop. Safety comes first.
Count them separately from theory hours and note the preparation and cleaning time that practical sessions need. Agree the counting with teachers so that the load seems fair.
Have a written fallback such as moving the batch to another slot with notice to students, or a supervised theory task. Record the case and review whether more backups are needed.
