HR documentation process for Medical Colleges: faculty files, appointments and promotion papers
A medical college holds faculty papers for appointment, experience, teaching duties and promotion. When these files are spread across the college and the hospital, finding the right paper takes days.

Faculty records in a medical college are often split. The hospital holds some duty papers, the college office holds appointment letters, and teachers keep their own certificates. When a promotion or an inspection comes, the college collects documents from many hands. Some are missing, some are out of date and some contradict each other.
A good system keeps one file for each teacher with a standard set of papers: appointment, subjects taught, experience, publications or training records, and past appraisals. One person owns the file. A checklist by cadre shows what is needed for each step, so teachers can see what to bring and the college can see what is lacking.
How to set it up
1. Decide the standard set of papers
For each cadre list the documents a file must hold. Keep it short and relevant to teaching, experience and conduct.
2. Build one file per teacher
Gather what exists, mark what is missing and ask teachers for copies. Fix gaps over a term and not in one rush.
3. Name an owner and a deputy
One person updates files and answers requests. See HR documentation process.
4. Link the file to promotion
For each cadre step, give teachers a checklist of papers needed. Check it with them a year before they become eligible.
5. Review the sample each term
Open some files, compare with department records and correct differences. Share findings with the principal.
Check these first
Before changing anything, find out what is true today. These take an afternoon and use your own records.
- Pick five faculty files and note what each lacks.
- Ask who holds contract papers for visiting teachers.
- Check how long it takes to find one teacher's experience record.
- Ask a teacher whether they know what is needed for the next cadre.

Questions owners ask
Keep copies in the file and let teachers retain originals unless a rule requires otherwise. Ask a qualified professional what your university and regulator expect, and follow that.
Keep one main file with the college and a short note of the duties held at the hospital, updated when assignments change. Agree who updates which part so that nothing is duplicated or lost.
Review them every year, with a quick update whenever there is a change such as a new subject or a training course. A yearly checking date, shared with teachers, keeps the work small.
