HR documentation process for Vocational Training Centres: engagement notes, hour logs and instructor files
Part-time instructors come with hourly terms, shifting schedules and their own course material. Clear paper at the start spares the centre disputes over hours, rates and who owns what.

Many centres start a visiting instructor on a phone call. The rate is agreed by word, the hours change every month and a worksheet written by the instructor is later used by another one. When the instructor leaves, nobody can say what was promised, and a small disagreement over a month's hours becomes a lost relationship.
The paper does not need to be long. One engagement note per instructor covering rate basis, expected hours, notice for absence, handling of cancelled batches and course material. One file per person with ID, qualification proof, safety briefing and the signed hour log. Keep them together and review them each term.
How to set it up
1. Write a plain engagement note
One or two pages in simple words: what the instructor teaches, rate basis, expected weekly hours, notice for absence, treatment of cancelled sessions and the date of the next review.
2. Settle who owns course material
Say whether worksheets, videos and test papers made for the centre belong to the centre, and whether the instructor may use them elsewhere. Write it down before the work starts.
3. Keep one file per instructor
Hold the note, proof of qualification and experience, the safety briefing record and observation notes together. A coordinator can then replace an instructor in a day.
4. Use a standard hour log
One sheet per instructor per month, signed by both sides, forming the basis of payment. Keep the signed sheets with the file.
5. Review the notes each term
At term end check each note against what actually happened and update hours or rate. Store the new version beside the old.
Check these first
Before changing anything, find out what is true today. These take an afternoon and use your own records.
- Pick three visiting instructors and see if each has a written note describing rate and hours.
- Ask who owns the worksheets your instructors created and see if anything is written.
- Check that every instructor file has a qualification proof and a safety briefing date.
- Compare a signed hour log with the instructor's last payment.

Questions owners ask
Yes, in plain words, even for a few hours a week. The form of engagement carries legal consequences, so take advice from a qualified professional on how to word it for your centre.
Identity, qualification and experience proof, the engagement note, the safety briefing record, observation notes and signed hour logs. Keep it simple and tidy so a coordinator can find anything within minutes.
It should be decided before the work starts and written down. Many centres keep the material and let the instructor reuse their own examples. Ask a qualified professional to confirm the wording.
