Attendance, shift and leave process for Bookkeeping firms: a rota that survives the last three days of the month
The first three weeks of the month are calm in a bookkeeping office, and the last few days are not. Leave and attendance rules that account for that rhythm keep the team fair and the reports on time.

Share your requirementsWhy attendance, shift and leave process matters in bookkeeping firms
Leave requests tend to come before festivals and at month end, when the office is least able to spare anyone. Team leads say yes to the person who asked first and no to the next, and fairness becomes a topic of talk. Home-working days are given informally, and staff compare.
A simple process fixes the rhythm. The calendar marks the close days. Leave is easy in calm weeks and rare at close. Someone is named to cover each portfolio. Working hours, including any home days, are recorded in the same way for everyone.
How to set it up
1. Mark the monthly rhythm
Show on a calendar the days of document intake, posting, review and report. Share it with the team and with clients.
2. Set simple leave rules
Say how much notice is needed, which days are restricted and how conflicts are settled. Apply the same rule to all.
3. Name a cover for every portfolio
Each bookkeeper has a buddy who knows the client note, and the team lead confirms cover before approving leave.
4. Decide home-working days
Say who may work from home, on which days, what is expected and how presence is recorded. Review after a quarter.
5. Record attendance in one way
Whether a register, a form or a swipe, keep one method for everyone and a monthly summary. The HR policies and governance work can hold the written rules.
Check these first
Before changing anything, find out what is true today. These take an afternoon and use your own records.
- Count leave refusals at month end and compare who was refused.
- Ask three bookkeepers if they know who covers their portfolio.
- Check that home-working days are applied the same way across the team.
- See how many staff stayed late on the last day last month.

Questions owners ask
You can restrict it, but fairness and notice matter. Explain the rule early, allow exceptions for real emergencies and give time back after the close. Check the position with a qualified professional.
Base it on the role and the person's setup, not on favour. Write the criteria, review it periodically and apply it to everyone who meets them.
Use a clear rule, such as first request, rotation across festivals or business need, and keep a record. Let people know the rule before the conflict.
