HR reporting and analytics for Industrial Security Providers: plain numbers by plant

An industrial security provider with ten plants cannot see trouble from the office. A one page report each month on absences, long hours and vacancies shows which plant needs a visit.

Why HR reporting and analytics matters in industrial security providers

Owners often learn about a problem plant from the client's complaint. By then the guards are tired, two have left and a supervisor is covering a post himself. The signs were visible earlier in the attendance sheets, but nobody put them together.

Good reporting is modest. A single page by plant with a handful of figures that the supervisor can fill in and the owner can read in five minutes. The aim is to spot a trend, ask a question and visit, not to build a large system.

How to set it up

  1. 1. Choose five numbers that matter

Typical choices are posts vacant, guards on long hours, absences, exits in the month and complaints from the plant. Define each so everyone counts the same way.

  2. 2. Collect them from sources you already have

Use attendance sheets, rosters and the complaint log. Ask supervisors to enter the numbers by a fixed date every month.

  3. 3. Put them on one page by plant

Show this month beside the last three months for each plant. Colour is not needed, only clear columns.

  4. 4. Hold a monthly review of ten minutes per plant

Owner or operations head, area manager and supervisor discuss one or two issues and agree who does what by when.

  5. 5. Share the useful parts with clients

A plant head who sees that the agency tracks absences and long hours is more likely to accept a roster change. Keep guard names private unless needed.

Check these first

Before changing anything, find out what is true today. These take an afternoon and use your own records.

  • Try to answer how many guards worked more than six days straight last month, plant by plant.
  • Ask supervisors how they count an absence and compare answers.
  • See whether the same plant tops the list of complaints and exits.
  • Check how long it takes to produce a vacancy count today.

Questions owners ask

No. A shared sheet filled monthly is enough to start. Add tools later if the simple report proves useful and you can describe what you need.
