HR reporting and analytics for Subscription software businesses: Seeing Where Support and Success Staff Leave

A few simple people numbers can show a subscription business where staff are leaving, how long joiners take to settle and whether the queue is wearing people down.

Why HR reporting and analytics matters in subscription software businesses

Subscription businesses have plenty of customer numbers and very few people numbers. Dashboards show tickets closed and accounts renewed, but nobody can say how long a new agent takes to reach full speed, which team loses people fastest, or whether staff leave after a bad release week. Managers rely on memory and a feeling that things are getting harder.

Good reporting here is small. A monthly page shows joiners and leavers by team, time for new people to reach independent work, and the load on each queue. It sets these beside customer measures, such as repeat tickets and renewals, so the link between staff and churn can be seen. Each number is explained in a line, and each has an owner who is expected to act when it moves.

How to set it up

  1. 1. Choose five numbers

Joiners, leavers, time to independent work, queue load per agent and unplanned leave. Define each in a line so everyone reads it the same way.

  2. 2. Collect from existing records

Use the roster, the ticket system and the exit notes already kept. Do not start new forms. The HR reporting and analytics page covers what we would look at.

  3. 3. Show it by team and month

A simple table with a few months side by side is enough. Mark the months with a release or a pricing change.

  4. 4. Pair with customer measures

Place repeat tickets and renewals beside the people numbers to see whether one leads the other.

  5. 5. Review it monthly with each lead

Fifteen minutes with each team lead to ask what the numbers say and what one thing they will change.

Check these first

Before changing anything, find out what is true today. These take an afternoon and use your own records.

  • List last year's leavers by team and tenure and see where they cluster.
  • Check whether anyone knows how long a new agent takes to reach full speed.
  • Compare ticket load per agent in the busiest and quietest months.
  • Ask a lead which number they would trust most and which they distrust.

GullyHR can do this with you. Read how we approach HR reporting and analytics in general, or share your requirements and we will tell you where to start.

Questions owners ask

Leavers by team and length of service. It is easy to compile and often shows a pattern within a few months, such as exits clustered in the first ninety days or under one particular manager.
