Employee onboarding process for Hospital pharmacies: getting a new pharmacist or runner ready for the ward
A new hire in a hospital pharmacy meets indents, wards, handovers and urgent calls from day one. A short, planned first week makes them useful sooner and cuts avoidable mistakes.

Share your requirementsWhy employee onboarding process matters in hospital pharmacies
Many new joiners in hospital pharmacies come from retail. The counter is different from the ward: indents arrive in a stream, supplies go upstairs, and tone matters when a nurse is waiting. A pharmacist or assistant who joins on a busy night may be left to learn from whoever has a spare minute. A runner may be sent to a ward without being told where the OT is.
An onboarding plan sets what a person sees and learns in each of the first days: the layout of the pharmacy and wards, the shift handover, the indent system, who to call and what must wait for a pharmacist. It names a buddy for each new joiner, gives them a first-week list and checks in at the end of each week for the first month.
How to set it up
1. Prepare before day one
Have the joining papers, ID card, uniform, access to the pharmacy and a named buddy ready. Share the rota for the first fortnight.
2. Walk the route
On day one, walk the pharmacy, the wards, the emergency room and the OT supply points with the buddy. Show the quickest routes and where supplies are left.
3. Teach the indent cycle
Show how an indent arrives, is checked, issued and recorded, and how returns work. Let the new person shadow, then do under supervision. Clinical judgement stays with the pharmacist.
4. Practise the handover
Ask the new joiner to attend two handovers and then give one under watch. Use the written one-page sheet so nothing is passed by memory alone. See the employee onboarding process page for how we would design this.
5. Check in at weeks one, two and four
A short talk with the chief pharmacist or HR: what is going well, what is unclear, and what further help is needed.
Check these first
Before changing anything, find out what is true today. These take an afternoon and use your own records.
- Ask the last three joiners whether they knew who their buddy was.
- See whether new runners were taken to every ward they serve.
- Check whether the first-week list exists on paper.
- Count how many joiners left within three months and the reasons given.

Questions owners ask
A calm, experienced colleague on the same shift, who knows the ward routes and is willing to answer repeated questions. Give them some protected time for it.
The structured part is usually the first week, with check-ins over the first month. Some roles need longer if they cover night duty alone.
Plan to have them shadow for at least two shifts before working alone, and do the walking tour on the first available day. Do not leave them without a named contact.
