Customer-service skills for Pet Grooming Businesses: greeting, expectations and difficult owners

Owners judge a groom by the dog, the photo and how they were spoken to. Customer skills at the desk and the table keep clients coming back.

Why customer-service skills matters in pet grooming businesses

Grooming clients are emotional about their animals. They worry about stress, fear a haircut that went wrong and expect a photo that shows their pet at its best. The front desk often promises times that cannot be met, and groomers may be curt when tired. Small slips become big complaints on social media.

Training here is practical and short. How to greet, how to ask about the animal, how to set a realistic time, how to explain a delay or a redo, and how to say no politely. A script for common moments and a few role plays in a team meeting change the tone within weeks. Groomers also learn how to talk about handling without alarming the owner.

How to set it up

  1. 1. List the common moments

Booking, arrival, handover, delay, matted coat, redo request, complaint and payment. Choose the five that cause most trouble.

  2. 2. Write simple scripts

A few lines for each moment, in the team own words. Include what to say, what to avoid and when to call the manager.

  3. 3. Role play in a team meeting

Practise two moments each week for ten minutes. Rotate who plays the owner so everyone sees the other side.

  4. 4. Set expectations at booking

Ask about coat condition, temperament and health notes, give a realistic time and explain extra charges for matting.

  5. 5. Review feedback weekly

Read client messages and reviews together, pick one lesson and adjust the script.

Check these first

Before changing anything, find out what is true today. These take an afternoon and use your own records.

  • Read the last ten client complaints and count those about communication, not the groom itself.
  • Ask the front desk how they quote times and whether they are kept.
  • Check if groomers explain matting or extra charges before starting.
  • See whether photos sent to owners are checked first.

Questions owners ask

Listen, look at the animal and the photo together, and offer a fix if reasonable. Stay calm and note the case. A quick, respectful response resolves most complaints.
