Employee onboarding process for Accounting outsourcing companies: getting trainees and new accountants productive in the first month
A new accountant joins a live client team in the middle of a month. A planned first month, built on account notes and supervised files, gets them useful faster than being left to work it out.

Most accounting outsourcing teams onboard by seating the newcomer beside whoever is free. The newcomer learns the client's habits from fragments, makes mistakes on real files and hears about them from the client. Article trainees face the same, with the added worry of exams and study leave.
A planned start gives each joiner a short introduction to the firm, the client team and the way time is logged. It moves them through supervised tasks of rising difficulty, with a named reviewer and a weekly talk. The firm learns where its account notes are thin, because new joiners hit the gaps first.
How to set it up
1. Prepare before day one
Seat, access requests, the client team and a named buddy are ready. A one-page plan for the first four weeks is shared with the joiner and the team lead.
2. Introduce the firm and the client
A short session on how work, time entry and review run, followed by the account note for the client they will join. If the note is missing, the buddy writes it with them.
3. Start with supervised tasks
Begin with tasks the reviewer can check the same day, such as coding a batch or reconciling one account. Raise difficulty as the checks come back clean. See employee onboarding process.
4. Set a weekly check-in
A short weekly talk covering what was learnt, what was corrected and what feels unclear. Trainees also cover study time and leave expectations.
5. Review at the end of the month
The lead, reviewer and joiner look at the work together and agree the next month's tasks. Note which parts of the plan helped and which did not.
Check these first
Before changing anything, find out what is true today. These take an afternoon and use your own records.
- Ask the last three joiners what they found hardest in the first month.
- Check whether every active client has an account note a newcomer could use.
- Look at how many corrections the reviewer made on a new joiner's first files.
- Confirm each trainee has a named reviewer and a weekly time to talk.

Questions owners ask
Plan the first month closely and keep light checks through the first quarter. Complex clients may need longer. Judge by the joiner's checked work, not by a fixed number of days.
Contacts and approvers, cut-off dates, coding habits, known exceptions and where files are kept. Keep it to a page so people actually read it.
Agree study leave and busy periods at joining, avoid heavy tasks near exam dates where possible and tell the team lead early. Clear rules prevent resentment on both sides.
