Hiring and HR Outsourcing Services

Hiring Many People in a Short Window, Without Letting Quality Slip

A new site, a busy season or a sudden ramp-up can mean hiring many people in one go. GullyHR runs this as part of its talent acquisition service: one brief per role cluster, set screening stages, batched interviews and follow-up from offer to joining.

What is bulk hiring services for sites, seasons and ramp-ups?

Bulk hiring means filling many positions in a short window, such as for a new site, a season or a ramp-up. It needs a different method from one-off recruitment: grouped roles, a fixed screening path, interviews in batches and steady contact until people join. GullyHR provides this as part of its talent acquisition service for permanent roles.

The starting point

When businesses ask us for this

  • A new site opens soon and the hiring plan is a list of headcounts with no process behind it.
  • Managers are interviewing in their own style, so quality varies between batches.
  • Applications arrive faster than anyone can read them.
  • Candidates accept offers and then do not turn up.
  • Roles with the same title have different requirements in different teams.
  • HR is also running day-to-day work, so hiring gets squeezed.
  • There is no single sheet that tells you how many are open, interviewed, offered and joined.

What the work covers

We start with the hiring plan: roles, locations, how many of each, and when people are needed. We group similar roles into clusters and write one brief per cluster, with must-haves and a shared scorecard. Each cluster gets a fixed screening path, for example application review, a short call, an assessment where the role needs one, and a structured interview. Interviews are scheduled in batches, with panels briefed on the scorecard. Offers follow a set approval route. After the offer, we stay in touch with each candidate until joining, because that gap is where bulk hiring loses people. A live tracker shows each cluster's progress.

Hiring plan: turn headcount into a sequence.

Roles, numbers, locations and need-by dates are laid out, with clusters and priorities agreed before sourcing starts.

Brief templates: one brief per role cluster.

A short template covers the work, must-haves, nice-to-haves, location, reporting line and offer range for approval, so recruiters and interviewers use the same description.

Role clustering: group roles that can share a process.

Similar roles share a screening path and scorecard; roles that differ materially are kept apart.

Screening stages: the same path for every candidate.

Application review, a short call, an assessment where needed and an interview, each with a pass standard written down.

Interview batching: fewer, larger sessions.

Panels are briefed on the scorecard, slots are scheduled in blocks, and decisions are recorded on the same day.

Offer to joining: keep candidates engaged.

Offers, documents requested, a named contact and check-ins until the date of joining, with a reserve list for dropouts.

The process

How it runs

  1. Agree the hiring plan

Confirm roles, numbers, locations, need-by dates and who approves offers.

  2. Cluster the roles and write briefs

Group similar roles, write one brief and scorecard per cluster and get the hiring managers to sign them off.

  3. Source and screen

Open the search, review applications against the brief and run the short call and any assessment.

  4. Batch the interviews

Schedule panels in blocks, brief interviewers and collect scorecards on the same day.

  5. Offer and negotiate

Prepare offers within the approved range and manage acceptance.

  6. Follow up to joining

Stay in touch with each person, collect joining documents and keep a reserve list ready.

  7. Review the batch

Look at where candidates dropped out and adjust the next batch.

What you receive

  • Hiring plan with role clusters and priorities
  • One brief and scorecard per cluster
  • Screening path with pass standards
  • Interview batch schedule and panel briefing note
  • Live tracker by cluster and stage
  • Offer-to-joining follow-up routine and reserve list

Who it is for

  • Companies opening a new office, plant, store or team.
  • Businesses with seasonal peaks that need permanent additions.
  • Startups that have raised funds and must build a team quickly.
  • HR teams of one or two who cannot run large-scale hiring alongside daily work.
  • Operations heads who need many people in similar roles.

Why GullyHR.

Bulk hiring fails less on sourcing and more on inconsistency: different standards in each batch, slow decisions and silence after the offer. We bring the structure first, then the recruiters. Our interviewing system, scorecards and tracker work together, so the standard holds from the first batch to the last.

  • Design the process

Map how the work runs today, then write the procedure, the forms and the approval route it should follow.

  • Strengthen management

Settle the structure, the roles and the decisions each level can take without the owner.

  • Develop people

Train the managers who have to run it — the review, the difficult conversation, the handover.

  • Automate HR

Configure the agreed process in software, so the document and what people actually do stay the same thing.

The difference

What changes

  • Roles grouped into clusters with one brief each.
  • Every candidate in a cluster screened and scored the same way.
  • Interviews held in planned batches, with decisions recorded.
  • A live view of open, interviewed, offered and joined by cluster.
  • A reserve list and a follow-up routine that reduce dropouts.

What it looks like

Sample role cluster brief

One brief serves every role in the cluster.

What the brief says
ClusterCustomer-facing floor roles at one site
Must-havesClear speech, willingness to work shifts, basic reading and writing
Screening pathApplication review, short call, group exercise, structured interview
ScorecardFour criteria, each scored one to four with written anchors
OfferRange approved by the business head before interviews begin

Illustrative only. The real brief is written with your hiring managers for your roles, and the stages depend on the work.

Before you enquire

This is not the right fit if

We would rather say so here than after a call. If one of these describes you, the links alongside point to what will serve you better.

  • You need contract or temporary staff supplied; GullyHR does not offer contract staffing.
  • You are hiring one or two senior people; executive search or the standard talent acquisition service is a better fit.
  • You want background verification carried out by us; we only coordinate your chosen vendor.
  • You need people next week with no brief agreed; the brief and scorecard come first.

How we are measured

Before work starts, we record where you stand. Every later report compares against that baseline.

We choose the measures with you at the start, from the list on this page, and only the ones your data can support. We do not promise a result. We promise a baseline, and a report that shows the change against it, whichever way it went.

This engagement is measured on

  • Time-to-hire
  • Offer acceptance
  • Joining rate

The measures we choose from

  • Time-to-hire

Days from approved vacancy to accepted offer.

  • 90-day attrition

New joiners who leave in their first three months.

  • Annual attrition

Leavers over the year, by team and by manager.

  • Payroll and statutory errors per month

Corrections after the run, and returns filed late.

  • Open compliance gaps

Obligations without an owner or a due date.

  • Employees with written goals

Share of the team that knows what it is measured on.

  • Review completion rate

Reviews finished on time, not just started.

  • Manager training coverage

Managers who have been taught the part of the job they were promoted into.
